Who is responsible for your information?

What we collect and why

Enquiries and business relationships. We use your name, contact details, organisation, role and the information you send us to respond to enquiries, prepare proposals and manage our work with you. Where you are asking us to enter into a contract with you, or are our client, we rely on taking steps towards or performing that contract. For contacts acting on behalf of an organisation, we rely on our legitimate interest in communicating with that organisation and delivering our services.

Workshops and appointments. We use registration details, appointment information and relevant preferences to organise sessions, communicate practical information and arrange invoicing. This includes information about a colleague attending with you. Please share only details you are authorised to provide and direct your colleague to this notice. We rely on the contract with the participant or, for bookings made by an employer, our legitimate interest in organising the agreed service.

Coaching and project work. We use information relevant to the agreed engagement, including working notes where needed. Please avoid including confidential information about other people unless it is necessary and you are authorised to share it. Specific confidentiality and information-sharing arrangements should be agreed at the start of the engagement.

Accessibility and dietary arrangements. Tell us the practical arrangement you need, rather than providing a diagnosis or medical history. Where an arrangement involves health information or other sensitive personal information, we need your explicit consent to use and share it for that purpose. You may withdraw that consent by contacting us; this may affect the arrangement we can provide.

Accounting. We use billing details, invoices and payment records to issue invoices, maintain accounts and meet our legal obligations.

Website operation. Our website provider processes technical information such as IP address, browser and device information and pages visited. Necessary processing supports the security and operation of the website, based on our legitimate interest in providing a functioning service. Optional analytics cookies require your consent.

Fields marked as required are needed to respond to your request or organise the service. Without those details, we may be unable to do so. You can also contact us by email. Making an enquiry or booking a workshop does not by itself subscribe you to marketing emails.

Where information comes from

Most information comes directly from you. An employer, colleague or commissioning organisation may provide contact or booking details to arrange work involving you. In that case, we use the information for the relevant engagement and can explain its source on request.

Who receives information

  • Squarespace hosts this website and its forms. Acuity Scheduling handles appointments.

  • Google Workspace supports our email, calendar and document storage.

  • Our accountant, A Tax Solution sprl, handles accounting records. We use Kyte through the accountant to send invoices over the Peppol network. Invoice information is transmitted to the recipient through the relevant service providers.

  • Pipedrive may still hold earlier business contact records while we phase out the service. It is no longer our actively used CRM.

  • Consultants, facilitators, coaches and event suppliers may receive the information needed for their part of an engagement. Access and any sharing of sensitive information must be limited to that purpose.

  • Professional advisers, insurers or public authorities may receive information where necessary for a legal obligation or to establish, exercise or defend a claim.

International processing

Some technology providers process information outside the European Economic Area, including in the United States. Their published processing terms describe the applicable transfer arrangements, including adequacy decisions and standard contractual clauses where relevant. How long we keep information

  • Enquiries that do not become work: 12 months after the last meaningful exchange.

  • Routine workshop registrations: 12 months after the event.

  • Dietary and accessibility arrangements: 30 days after the event.

  • Private coaching notes: 12 months after the final session.

  • Routine project working files containing personal information: 24 months after the engagement ends.

  • Invoices and supporting accounting records: normally 10 years, calculated under the applicable tax rules.

  • Marketing contacts, where held: until you withdraw consent or object, with an inactivity review after 24 months. We may retain a minimal suppression record to respect your choice.

We keep essential contractual records or material relating to a legal obligation or dispute for the period needed for that specific purpose. This does not mean retaining every working document or email. We delete or anonymise information that is no longer needed.

Your choices and rights

Depending on the circumstances, you can request access, correction, deletion, restriction or a portable copy of your information. You can object to processing based on legitimate interests and to direct marketing. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing.

Email privacy@leladijo.com. We normally respond within one month. If a lawful extension is needed, we will explain it within that month. We may ask for proportionate information to verify your identity.

You may complain to the Belgian Data Protection Authority, or the supervisory authority in the country where you live or work. You do not need to contact us first.

Cookie information

Cookies are small files stored on your device. Necessary cookies support functions such as security and remembering your privacy choices. Optional analytics cookies help us understand website use.

Our banner offers Accept all, Reject non-essential and Manage cookies. Squarespace's non-essential cookies are restricted until you agree. You can change your choice using Cookie Preferences. You can also remove cookies through your browser settings.

Squarespace documents the analytics cookies ss_cid, ss_cpvisit and ss_cvr with a two-year duration, and ss_cvisit and ss_cvt with a 30-minute duration. These distinguish visits and sessions when analytics cookies are permitted. This is the provider's published inventory, not a claim that every cookie is set on every visit. When you follow a link to an external booking, learning or other service, that service has its own privacy information and cookie controls. The choices on this website do not automatically apply on another website. Forms may use Google reCAPTCHA to protect against automated abuse; see Google's privacy policy.
