Feel the Room Workshop
For the people organising it, and the people living it.
You didn't ask to be the event person. Or maybe you did, but nobody told you it would feel like this.
Either way, you've got an event to organise, a room to fill and a group of people who deserve more than another panel discussion and a lukewarm coffee.
Feel the Room is a half-day hands-on workshop that helps you design events people actually remember, without losing your mind in the process.
Less guesswork in the planning. More confidence in the room.

WHY THIS WORKSHOP EXISTS
You can be excellent at your job and still feel unsure how to design a good event.
Many people who organise events in Brussels are not event professionals. They are policy experts, communications leads, programme managers, coordinators, diplomats, association professionals or civil society teams.
They understand the topic. They know the stakeholders. They care about the outcome.
But when it comes to designing the room, shaping the flow, keeping people engaged and making the experience feel worthwhile, they are often left to work it out as they go.
Feel the Room gives you a practical way to do that work better. You will learn how to map the participant journey, identify common event pain points and make small design decisions that improve the experience for both participants and organisers.
You do not need to become an event professional. You just need better tools for the events you already organise.
WHAT IT IS
A practical half-day intensive on the participant journey
Feel the Room is designed for busy professionals who need practical tools they can use immediately. It is focused, hands-on and grounded in real event situations from the Brussels EU bubble.
01
ONE CLEAR TOPIC
The participant journey
We focus on what people experience before, during and after an event, and how to design those moments more intentionally.
02
TWO SIDES OF THE EQUATION
Participants and organisers
You will look at what your participants need, but also what the event feels like for the people delivering it.
03
TWO WORKSHOP BLOCS
Tools first, simulation second
The first part introduces practical thinking and tools. The second part turns them into action through a realistic event simulation.
04
SMALL GROUP
10 to 15 people
The group is intentionally small so there is space to ask questions, work on examples and learn from each other.
WHO IT IS FOR
For people who organise events, even when that is not technically their job.
This workshop is for people who regularly organise or support meetings, workshops, policy discussions, stakeholder events or internal events in and around the Brussels EU bubble.
You do not need formal event training. You may be completely new to event design, or you may already have experience and simply want to organise events in a more thoughtful, engaging and human way.
PARTICULARLY RELEVANT FOR
Communications professionals
Programme managers
Assistants and coordinators
Stakeholder engagement leads
Policy officers
Diplomats
Association professionals
Civil society professionals
EU-related organisations
Anyone who has to “make an event happen”
INTENTIONALLY MIXED
The workshop brings together people from institutional, association and civil society contexts. That mix is part of the learning. You will hear how others approach similar event challenges from different positions in the Brussels ecosystem.
WHAT YOU WILL LEARN
Design the room from both sides
Good event design is not only about what happens on stage. It is about how people arrive, connect, listen, participate, move through the space and leave with something useful. It is also about whether the people organising the event are set up to deliver well, or just survive the day.
The participant experience
How do people feel before, during and after your event?
YOU WILL LEARN TO SPOT WHERE THEY FEEL
lost
bored
rushed
confused
disconnected
unsure why they are there
AND WHAT HELPS THEM FEEL
welcomed
clear
engaged
included
energised
ready to act
The organiser experience
What does the event feel like for the people running it?
YOU WILL EXPLORE
whether roles are clear
whether the flow is realistic
whether breaks and transitions work
where avoidable stress is created
how communication reduces last-minute chaos
how to design an event which is calmer to deliver
By looking at both sides, you will learn how to create events that work better for participants and feel more manageable for organisers.
WHAT TO EXPECT
This is not a lecture
This is a hands-on, practical and interactive workshop. You will work with real tools, real examples and the experience of the people in the room.
Explore what makes policy and stakeholder events feel boring or engaging
Map a participant journey
Identify common event pain points
Work on real-life event examples
Learn simple tools to improve event flow, communication and experience
Reflect on how to make events better for participants and organisers
Practise applying the tools in a realistic simulation
Leave with ideas you can apply immediately to your next meeting or event
YOU WILL LEAVE WITH
A practical participant journey toolkit
A certificate of attendance
A clearer way to think about event flow
Ideas you can use on Monday
More confidence in how you design and deliver events
People remember how an event made them feel. Organisers remember whether it nearly broke them.
Feel the Room helps improve both.
For participants, it means events that are clearer, more engaging and more worth their time.
For organisers, it means fewer avoidable surprises, calmer delivery and more confidence in the choices being made.
The goal is not to turn everyone into a full-time event professional. The goal is to give people enough practical event design thinking to make the meetings and events they already organise significantly better.
